Request participation in an event

If you wish to participate in an event as a commercial person or company, you will need a confirmation.

As a business person or company, you can apply for events such as:

• Trade fairs,
• exhibitions
• public festivals and
• markets

apply for participation.

The following applies to the application:

• You can apply for a certificate of participation in accordance with the Trade Regulations.
• Organizers can restrict participation in markets in terms of the type and purpose of the market.
• When participating in these markets, you are exempt from the provisions of the Shop Opening Act, the Act on Sundays, Public Holidays, Days of Remembrance and Days of Mourning, the Working Hours Act and the Trade Regulations.
• If you belong to the group of participants of a fixed event, you are entitled to participate provided there are no objective reasons (material defects) to the contrary. Whether or not you belong to this group can be seen from the relevant regulations.

If the public administration acts as the organizer, the freedom of the market also applies. However, it can impose public-law restrictions on participants under municipal law (public institution). By means of market regulations that impose public law obligations on the persons organizing the market.

• You must belong to the group of eligible participants (applies to fixed events)

In order to participate in an event, you must apply for participation.
You can submit this application using an offline form or online via the online service.

If you wish to apply for participation using the offline form:

• Open the corresponding PDF form.
• Complete the application.
• Submit the required supporting documents.
• Send the application to the responsible authority by e-mail or post.
• You will receive a confirmation of receipt from the competent authority.
• In the case of stand approval, you will receive a notification before the start of the event.
• In the event of a rejection, you will receive a rejection notice from the competent authority.
• You will receive a notification of fees.

If you wish to apply for participation in an event via the online service:

• You call up the online service.
• Fill in the application form.
• You upload all the necessary supporting documents to ensure fast processing by the authorities.
• Your application will be checked by the competent authority.
• If there are any queries, the competent authority will contact you.
• You will receive a confirmation of receipt from the competent authority by post and/or e-mail.
• In the case of stand approval, you will receive a notification approximately 2 months before the start of the event.
• In the event of a rejection, you will receive a rejection notice from the responsible authority by post.
• You will receive a notification of fees by post.

Duration (with fixed time): 8 weeks

Remark:
There is no statutory application deadline. As a rule, applications must be submitted at least 8 weeks before the start of the event to ensure that applications are processed on time. However, for some events the application periods are longer. After the application deadline has passed, you can enter a late application procedure to maintain your chances of obtaining a stand.

The processing time depends on which event you are applying for. The processing time also depends on when the required documents are received.

The costs are calculated and determined in accordance with the applicable cost tables.
